Substitutes and Absence Management

Substituting in the School District of La Crosse

If you’ve been interested in subbing within our district but aren’t quite sure where to start, below you will find the steps and links to all the information you may need. If you have any further questions, please reach out!

 

Steps to Becoming a Substitute:

  1. Apply on WECAN for a vacancy that best suits your qualifications.
  2. Once you have applied, your application will be reviewed.
  3. If you meet the qualifications, you will receive an email with further instructions to complete.
  4. Once you have completed ALL of the requirements in the email, you will get another email with a link to set up a paperwork review meeting.
  5. At the paperwork review meeting, the paperwork packet sent to you in the first email will be collected and gone through to ensure completion. At this time you will be reminded to complete anything you have not completed prior to the meeting.
  6. Once everything is complete and turned in (including your substitute teaching license with the DPI and your background check), two emails will be sent from Absence Management (AbMgt) to welcome you to the district and to set up your account. This is where you will access all assignments available to you.
  7. The timeframe for all of this varies. Generally, by the following week of the review meeting you will be activated.

Management of staff absences and substitute placement is addressed with an online software solution called Absence Management. Absence Management provides a way for staff to request and register their absences with a phone call or by logging in on the web. Substitutes can search for available assignments and be matched and assigned to vacancies based on district preference lists. Administrators use Absence Management to get a clearer view of absence management to ensure effective classroom instruction. Absence Management not only saves countless hours of manual sub-calling, but also offers efficient absence tracking and reporting.

Absence Creation — The employee registers their absences at any time, either by calling a toll-free number or by logging on to Absence Management online. Absence Management starts to look for an available substitute that matches the employee’s specified qualifications and preferences. Substitute Placement — Subs can proactively fill their work calendars by searching for available assignments anytime they wish, either by calling a toll-free number or by logging on to Absence Management online.  Absence Management will also call substitutes based on rules managed by the district.
